This notice explains what personal information Company Associates collects, why, and the rights you have over it, in line with South Africa's Protection of Personal Information Act (POPIA).

1. Who we are

Company Associates ("we", "us") is the responsible party for the personal information described in this notice, as defined under the Protection of Personal Information Act 4 of 2013 (POPIA).

2. Information we collect

Account information: your name, email address, and phone number when you register an account.

Order and application information: proposed company names, entity type, registered address, nature of business, and payment amounts.

Director and shareholder information: full names, ID or passport numbers, nationality, residential and postal addresses, and contact details, where required for a registration or compliance filing.

Documents you upload: certified copies of identity documents, proof of address, and other supporting documents required for your order.

Technical information: IP address, browser type, and usage data collected automatically to keep the site secure and functioning correctly.

3. How we use your information

To create and manage your account and process your orders and payments.

To prepare and submit filings on your behalf with CIPC, SARS, the Department of Employment and Labour, and other relevant authorities.

To communicate with you about the status of your order, respond to support requests, and send service-related notices.

To meet our own legal, tax, and record-keeping obligations.

We do not sell your personal information. We do not use director or shareholder information for marketing purposes.

4. Who we share it with

Government authorities (CIPC, SARS, and others) as required to complete the service you ordered.

Service providers who support our operations, such as our payment processor, email delivery provider, and secure document storage — each bound by confidentiality and data protection obligations.

We do not share your personal information with third parties for their own marketing purposes.

5. How long we keep it

We retain order and application records for as long as necessary to provide the service, meet legal and tax record-keeping obligations, and resolve any disputes — typically for the statutory retention period applicable to company and tax records in South Africa.

6. Security

We apply reasonable technical and organisational measures to protect your personal information against loss, unauthorised access, and disclosure, including encrypted transmission and access controls on our systems.

Please do not send us financial account passwords, card PINs, or other sensitive credentials — we will never ask for these.

7. Your rights under POPIA

You have the right to be informed about the personal information we hold about you, to request access to it, to request that we correct or delete inaccurate or outdated information, and to object to processing in certain circumstances.

If you believe we have not handled your personal information appropriately, you may lodge a complaint with the Information Regulator of South Africa.
